Helpful Hints for Receivers of Alex Documents

Alex uses current industry standard, HTML compliant software to send emails and faxes directly from the sender's computer. We have guaranteed this by installing Alex's own email client along with AlexConnect. So senders can be assured that their documents are correctly formatted to send.

While the majority* of Alex recipients will have current industry standard software, a small number will have older versions of email clients and web browsers. These older versions may cause issues with viewing and printing documents in their original format. This page addresses problems some people may experience when receiving electronic documents delivered by Alex.

Alex PDF capability

All documents sent via Attache Alex email now include a link, which opens the document in PDF format. This means recipients can view, print and save their Alex emails, just like any other PDF document.

Best of all, the new feature is automatically included in all Alex emails. The sender no longer has to do anything at all: no changes to setups and no new software to install.

How does it work?

Alex emails now contain the following buttons:

Clicking High quality (PDF) opens the document as a PDF. The receiver can then choose from the printing options available in the PDF reader (which are not available in normal browser printing). Receivers can also choose to save the PDF copy.

Viewing Alex Documents

Issues Possible Solution

When I read an email from Alex, I see a lot of 'gibberish' rather than a formatted business document.

The reason may vary, but it is most likely the email client which Alex receivers use has not been configured to HTML correctly. It is also recommended that Alex document recipient check the type and version number of the email client they are using.

When I open an email from Alex I see

Authenticating Mail ID No: nnnnnnnn Please Wait…

but no business document is delivered.

This could be a time out issue caused by the speed of your Internet connection. Check your connection and modem speed.

Alex document cannot be opened directly, it appears in 'Plain Text' format and the receiver needs to click the link to get the formatted business document.

The reason may vary, but it is most likely the email client which Alex receivers use has not been configured to HTML correctly. It is also recommended that Alex document recipient check the type and version number of the email client they are using. In some cases, even after user press the link to view the Alex document, it will not view the document, instead, user get an error message saying ‘The page cannot be found’. The cause of this problem might be recipient’s security system that stripping off the HTML link in Alex document.

Printing Alex Documents

To Print an Alex Document
  • Select whether you wish for a high quality or draft quality printing.
  • Press the link High Quality (PDF) or Draft Quality (GIF).
  • If high quality is selected, then the document will be opened with Adobe Acrobat. Then, you can print the document by going to File | Print or you can press the 'printer' icon.
  • If draft quality is selected, four icons will appear at the top: Close | Page Setup | High quality (PDF) | Print Draft.
    If you want to print the document press Print Draft. If you print the document on a draft quality, you might need to alter the page setup.
    The information on the page setup can be found by clicking the Page Setup.

Issues Possible Solution

When I print an Alex Document by clicking on the document, I get an error on the screen.

If you have Microsoft Internet Explorer 3 upgrade to IE 5.0 - free from Microsoft at www.microsoft.com/downloads

When I print a document, I get page headers and footers and the page numbering is wrong.

To print electronic documents contained in your Attaché Alex email, you might need to alter the Page Setup.

When I print a document, the margins are too wide and the document does not fit on the page.

Saving Alex Documents

There are two ways of saving Alex documents:

  • If you open up the document in PDF format, to save the document, you will need to press ‘Disk’ icon as shown in the picture left. Then, choose a name and location for the file to be stored. The file will automatically be saved with the .PDF file extension.

  • If you open the document using ‘Draft Quality’ Right mouse click on the image and select Save Picture As. Choose a name and location for the file, and then save it with the .gif file extension.

Issues Possible Solution

When I open saved emails I receive from Alex, they open in my email program rather than in my browser.

When you save the email, instead of using the File | Save As option on your email program,
Right mouse click on the image and select Save Picture As. Choose a name and location for the file, and then save it with the .gif file extension.

Open Windows Explorer, locate the file, and then double-click it to open it. The file will open in your nominated progam.


Did you know:

Your email program can be set up so that you have a personal email address eg. aarons@electrohouse.com.au and you can also have another email address set up so that multiple people can access the incoming emails eg. accounts@electrohouse.com.au.

This would be a benefit when a worker is away sick or on holiday — say if three people work in the Accounts department, one is away sick, one is on holiday, the third worker can still access the incoming/outgoing Alex business documents.

Industry Standard Internet Software

EMAIL
To be able to view Alex documents the recipient requires HTML capable email software.

For some time, email software has enabled senders and receivers to create and read email messages in either text or HTML format. While text explains itself, some people will not be familiar with HTML. This is an acronym for HyperText Markup Language, which is industry jargon for the ability to include colours, fonts and pictures to be added to text messages.

HTML has been accepted by all software companies as the international standard for formatting text on the Internet. Both text and HTML formats are portable in that they can be read on any type of computer.

The most commonly used email application with HTML capability is Microsoft Outlook Express. This product is installed as part of Windows installations on most newer computers. Microsoft have produced versions of Outlook Express for Windows 2000/NT/Millennium/98 and 95, Windows 3.11, Macintosh and Unix.

INTERNET BROWSERS
Electronic documents delivered via email from Alex enables the receiver to print the document in WYSIWYG (What you see is what you get) format - that is in full graphics with no email headers or footers. With this print functionality, the recipient can print the document exactly as it would have printed from the senders accounting package. Just click on the email document to launch the print window.

IE5 is the most widely used Internet Browser and has been standard on Windows computers for several years. It is available free from Microsoft and most Internet Service Providers.
